Region V Head Start Association invites you to share your experiences, creativity, best practices, and passion with the Head Start/Early Head Start community across six states of Region 5 in the upcoming conference. The conference provide the perfect opportunity to connect with colleagues and gain insight from noted speakers and knowledgeable presenters addressing key issues, quality initiatives, and best practices.  

At a minimum, RVHSA equips each training room with an LCD projector/screen.Projectors will be set up for either VGA or HDMI input. Please bring any  necessary adapters for your computer. Internet access is available, however, keep in mind any contingencies that may require you to access online content. All presenters must bring their own laptop if their presentation requires the use of such technology.  Any cost for audio-visual equipment or duplication services not approved in writing by RVHSA is the responsibility of the presenter.  Audio-visual equipment and duplication services are cost prohibitive and is not typically authorized by RVHSA.   

Applicants should read instructions on the application form carefully. RVHSA reserves the right to edit material for the conference program book, including presentation titles and descriptions, as needed, without changing the content or meaning.     

SUBMISSIONS:  A maximum of two workshop proposals per presenter may be submitted, and must be sent as separate applications.   All presentations must avoid selling a product. We encourage you to submit early as spaces fill quickly.  Applications received after the deadline will be considered if vacancies exist or placed on a waiting list if no space is available.

EDUCATIONAL SESSIONS:  Educational sessions will be 90 minutes in length.  Presenters should be prepared for training groups of 45 to 100 persons/per session.  You will be notified of meeting room size at least 30 days prior to the session.  (Tentative) Concurrent Breakout Sessions schedule:

SELECTION PROCESS:  Selection of proposals will be made on the basis of adherence to the guidelines, quality of proposal, relevance, qualifications of presenter, and overall contribution to the conference.  The application form lists all required elements for completeness, and only complete applications will be considered.   

NOTIFICATION:  Once a proposal has been approved, the lead presenter will receive an email of acceptance and information on registration and conference logistics.  On the registration form, the lead presenters must list all information for themselves and their co-presenter(s) as it should appear in the event program.   Typically, notification and registration deadlines are as follows unless otherwise noted in communications or materials:
  • Deadline for proposal: July 19, 2024
  • Notification of acceptance: August 23, 2024
  • Notification of room assignment: October 4, 2024
  • Submit digital copies of handouts: October 24, 2024
As all official communications from RVHSA will be with the lead presenter, it is the responsibility of the lead presenter to keep their co-presenters informed of any pertinent presentation and conference information. 

HONORARIUM, LODGING, TRAVEL, AND MATERIALS & EXPENSES: As a non-profit educational association, RVHSA does not award workshop presenters an honorarium. Accepted presenters who are current Head Start employees in Region V are required to pay conference registration fees.Lead presenters are offered half price on their registration. Presenters are responsible for their own lodging, travel and other transportation and any physical handout copies. Digital copies of all handouts should be submitted to Cathy at the below email address no later than one week prior to the event  so that they may be added to the online conference program.

Presenters representing vendors or consulting firms are asked not to sell or market items within the training session. They may provide more of their product/service information by renting an exhibit booth in our exhibit hall. RVHSA provides conference exhibit space and offers advertising space in the conference landing page and/or conference app. Interested presenters and others may visit our Call for Exhibitors web page  or contact Mitch Wood at mwood@ilheadstart.org to secure exhibit or ad space.

PROPOSAL ABSTRACT INFORMATION 
Presenters are invited to submit an application via online application. What you will need to complete your proposal to submit:
  1. Title & Description of the session in 150 words or less to be used in the conference program.  Do not send outlines or handouts.
  2. Identification of the target audience (i.e. Directors, Fiscal Officers, Policy Council members).
  3. Identify 3 Training Objectives and/or Expected Learning Outcomes.
  4. At a minimum, copy of the lead presenter’s biographical information and picture.
