Integrate MemberLeap with your Existing Website

MemberLeap, the Membership Management System (MMS), is designed to be integrated with a website we custom build, so that the work of maintaining the content of the website and handling the daily business of the organization (membership, events, etc.) can all be handled through the same system.  If you purchase a website package from us, the websites we build are fully integrated with MemberLeap, easy-to-use association management software.

However, if you have an existing website and want to add MemberLeap to it, we can provide you with system links, so your webmaster can integrate them into your website.  It is usually more cost-effective to purchase MemberLeap in conjunction with a website package.

Web Hosting Package
The amount of storage space and mailboxes is determined by the web space offered in the web hosting package selected.  
  • Basic Package - It accommodates most organization's needs - 8 GB of storage and 20 domain-based email accounts ( with web-based access or with optional email forwarding.  
  • Optional Packages - These are recommended for organizations storing a large number of video and audio files and requiring additional email accounts.  
    • Enhanced Package - 16 GB of storage and 40 email accounts; Add $10 per month
    • Enterprise Package - 32 GB of storage and 80 email accounts; Add $20 per month


Member Data Conversion
The active member records listed by package is dependent on the total of records requiring usernames and passwords.  Non-member records and email list records can be uploaded for an additional charge.  

Your current member data (limited to one file, up to 50 fields wide) will be converted and loaded into your database.  There is an extra setup cost for files with more than 50 fields wide, and this fee is determined after analyzing a sample of your data.

MemberLeap Configuration
  • Default - MemberLeap will be set up with our basic default settings.
  • Advanced - We will set up MemberLeap's configurations to meet your organization's specific needs (membership plans, custom member data fields, member directory, membership billing, merchant accounts, event registration, call for proposals, etc.).

Online Training Sessions
We offer an extensive online help system and provide ticket-based email and phone support, but an online training session is very helpful in introducing all the MemberLeap modules and their respective features to new clients.  These sessions will be recorded and placed in your File Archive for reference later.  As needed, additional sessions can be purchased later through the ticket system.

Payment Gateway
If your organization wants to offer online payments for new member dues, renewal dues, event registration fees, donations, and store purchases, you will need to have a credit card merchant account or PayPal account.  Please visit our Payment Processing webpage to see if your current provider is a supported gateway; if not, there will be an additional $375 initial setup cost to integrate with your provider.

QuickBooks Interface
MemberLeap can be set up as the primary point of entry for all transactions (member dues, renewals, event registration, store purchases, online learning costs, etc.).  By using the  interface, it is simple to export these invoices and payments to QuickBooks by creating parallel transactions of equal amounts and dates in QuickBooks. This allows all entry to be done in MemberLeap, but the Client can still use QuickBooks for reporting and accounting purposes. 

This interface also has a monthly synchronization fee of $25 per month, which is included in the Platinum MemberLeap fee.

Mobile Application
It allows your members easy access to content powered by MemberLeap on both iOS and Android.
  • Basic - It will be branded to your association's logo and colors.    
  • Advanced - It features custom graphics and is available for an extra setup cost.
Platinum MemberLeap Plan includes the extra $10 monthly fee to cover maintenance and customer support as well as basic upgrade requirements.  This monthly fee applies if another MemberLeap plan is selected.

Domain Name Registration

While you continue to own your domains, we prefer to be listed as the Admin Organization on record, which allows us to monitor when renewals are due and avoid domains expiring.  At renewal time, we will automatically renew your domains and then invoice you via a line item for this expense on your monthly invoice ($15 per domain and $25 per domain with UCC).  

A Unified Communications Certificate (UCC) is an SSL certificate that is required to secure a primary domain name and then allow additional domains to point at it.  Example,
  • Primary domain ($25 with UCC) - that other domains point to
  • Additional domains ($15 each) - and automatically redirects to


Integration Versus a New Website


The bulk of the tough questions involved in deciding if an integration is a better choice over letting us build you a new website involve the content management features that allow you to edit pages, a calendar, photo album, etc. Plus, the question of how closely you need the system-hosted portions of the system (members area, event registration) to look like your public website pages.

"I just want to allow members to join and pay dues online."

All that needs to happen is
1) add a link to your website to the MemberLeap new member registration system.
2) add a form to your website to allow members to log-in and pay dues.

Typically 15 minutes of work.

But, if you have several hundred members, you may also want to have us load your member and member-billing data into your MemberLeap account as well, so that you can bill your existing members using the system. This is member data conversion, and typically takes 2-3 hrs. (included in our website packages, but not if we are integrating to a pre-existing site)

"I want to allow people to register online for events."

All that needs to happen is
1) add a link to your website to MemberLeap event registration menu.
2) add individual links to specific event registrations as needed

Typically 15 minutes or less.

"I want to use the calendar of events (hybrid version) on my website... and it has to look perfectly seamless."

The link to the calendar is easy enough. Making this feature look perfectly seamless... is where some work may be required. To make this happen, we need to create a workable header and footer file that will display the header, navigation bar, and footer of your website. Using these, we can 'wrap' MemberLeap such that it will look like the rest of your website.

We will need to review your website to be sure of how easily we can do this, but typically this can be 3-5 hours of work.

"We need to use the content management system, so we can add/change/delete pages on our site at will."

Use of the content management system would require that we create a workable header and footer file, so that we can retain the look of your site. However, the content management system also requires we are able to update your navigation bar. To make this happen, we may have to re-build your navigation bar.

We will need to review your website to be sure how easy or difficult this would be, but this can be as much as 7-10 hours of work.

"I need to add the calendar, member registration, website content manager, event registration, newsletter editor, and donations module. It must look perfectly seamless, plus I have a few changes I'd like to see happen to the look of the website itself."

You will want to strongly consider one of our website packages.

Otherwise, the hourly charges for integration of so many items will add up quickly and may surpass the cost of a new website.
